How to personalize your meeting summaries in Sally AI
The Summary tab in the meeting assistant defines how Sally reads and captures your meetings. You decide how much industry context is applied, which language Sally writes in, which meeting template new recordings receive, and who receives the summary email.
The four settings apply to every new summary. Together they set the level of detail, from a short, strictly factual recap to a detailed one that keeps more of the context from the conversation.
Quick navigation
1. How to find the summary settings
- Open Settings from the bottom-left corner of the sidebar.
- Under Configuration, select Meeting Assistant and then the Summary tab.
At the top sit the four settings for the summary, which this article explains.
Every setting lives in its own card that you expand with the arrow on the right. Changes only take effect once you click Save in the card; until then the card points out Unsaved changes.
The Defined organization-wide switch makes a setting apply to the whole organization. Only these two roles have the switch, members do not. The card then carries the Organization-wide mark in the top right corner, and all users get their summaries by the same rule.
2. The four settings at a glance
You have four areas of control: personalization of the summaries, language settings for summaries, default meeting template for new recordings, and automatic summary email.
For each setting we explain what it does and give a recommendation for everyday use.
2.1. Personalization of the summaries
Personalization gives you control over how much context Sally uses when writing your summaries. You decide whether the summary stays strictly business-focused or reflects more of the nuances from the conversation.
The card has four fields:
Industry profile
Select the industry you work in from the list, for example Marketing / PR consulting. As long as it says No selection, Sally writes neutrally, without any industry angle. Once a profile is set, the card shows Industry profile active at the top.
Influence of the industry profile
Choose how much the industry shapes the summary. The field only becomes available once an industry profile is set.
-
Low
Summaries stay broad, neutral, and easy to read. Sally avoids industry-specific jargon and sticks to universally understandable language. -
Medium
Sally starts picking up the terminology, the recurring themes and the communication style of your field. The summary becomes more aligned with how people in your industry frame problems, priorities, and next steps, without going too deep into niche vocabulary.
Example: marketing, with campaign performance, audience insights, and brand positioning picked up where relevant. -
High
The summary heavily reflects your professional context. Sally uses the tone, jargon, and analytical lens typical for your role. Key information is framed the way experts in your field talk, think, and prioritize.
Example: sales, with buying signals, objections, decision-makers, pipeline impact, and next steps carrying urgency and metrics.
Choose High if you want summaries that feel like they were written by someone in your function, not by a general-purpose assistant.
If you frequently share summaries with customers or mixed audiences, use Low so the language stays simple, neutral, and easy for anyone to understand.
Small talk in the summary
The switch decides whether light conversation such as intros, warm-ups, and chit-chat shows up in the summary.
Leave the switch off if you want summaries that stay focused on the core content of the meeting.
Turn it on when small talk provides valuable context, for example in relationship-driven roles, onboarding conversations, or long-term client accounts.
Private topics in the summary
The switch controls whether personal or non-work topics such as vacations, family, or weekend plans may be included.
Leave the switch off if you want summaries to stay strictly professional.
Turn it on only when personal context actually matters, for example in account management, coaching, or long-term client relationships where personal details help you remember preferences or build rapport.
2.2. Language settings for summaries
Here you choose the language Sally writes the summary in.
Under Language of the summary there are three options:
-
In the meeting language
Sally detects the language of the meeting automatically and writes the summary in it. Suitable for international meetings where everyone expects the same version. -
In my language
Every user receives the summary in their interface language. Suitable when meetings often take place in other languages but you want to read the summary in yours. -
In another language
One fixed language for all summaries, independent of the meeting and the user language. Suitable for reports to stakeholders who require a specific language.
How to switch the language for a single recording is covered in change the summary language. The setting here applies to all new summaries.
2.3. Default meeting template for new recordings
The meeting template defines which sections a summary contains. Here you set which template new recordings get automatically.
The Default meeting template list holds the Standard-Template and the templates created in your organization account. Whatever you pick here applies to every new recording until you change it on the recording itself.
Select the template your team needs most often. You can still set a different template on every single recording.
2.4. Automatic summary email
Here you decide who receives the summary email after a meeting.
There are five options:
-
Only to me
Every user only receives the summary of their own meetings. Suitable for confidential meetings such as 1:1s, interviews, or early-stage sales conversations, and when you want to review the content first. -
Only to me when I was the host
The summary goes to you, but only when you were the host. Sensible when you attend many meetings without being the host and only want the summaries of your own. -
To all meeting participants
All participants of the meeting receive the summary, so everyone has the same information on tasks and decisions. Suitable for project stand-ups, cross-functional reviews, or onboarding. -
Only to participants with an internal domain
Only participants with a domain marked as internal receive the summary, guests do not. Suitable for agency and client relationships, partner conversations, or topics under an NDA. -
Never automatically
The summary is not sent automatically, you can share it manually. Sensible in regulated environments or when you want to limit the number of automatic emails.
For Sally to recognize who belongs to your organization, the relevant domains must be marked as internal.
Before you pick To all meeting participants, make sure everyone knows that an AI-generated summary will be shared. For confidential topics, use Only to me or Only to participants with an internal domain.
What that email contains is shown in automatic summary email.
